BEM process flow

Automatic identification

Using an interface to your payroll system, the BEM software automatically identifies all BEM cases starting from the 42nd day of sickness absence.
From the moment of identification, all entries and changes are logged securely for auditing purposes.

Sending invitations

The initial letter is automatically generated based on your individual templates. The invitation to the BEM conversation can be sent by post or email. If the employee does not respond, the digital assistant sends a reminder for the second letter to be sent.

Processing feedback

The employee’s response is processed digitally. If the offer is rejected, the correspondence is securely archived in the BEM file. Once participation is confirmed, the digital assistant guides through all further steps of the BEM process and supports the case managers.

Involving stakeholders

Stakeholders can be involved in a BEM case at any time. This can be a person of trust of the employee, a doctor, a safety expert or a representative of the works council or the representative body for severely disabled employees.
Both participants and superiors can be informed about the status of the BEM procedure in accordance with the GDPR.

Scheduling

Appointments planned in the BEM software are also displayed there via a link to your calendar. During appointment planning, the people involved in the case are automatically suggested as participants.

Information & integration discussion

All discussions in a BEM case can be recorded and signed using the BEM software. The company’s own guidelines and all additional documents required for each meeting, such as a data protection agreement, are available in the logging tool.

Action planning & evaluation

During BEM conversations, various actions can be planned and recorded from an individually configurable catalog. The agreed BEM measures are later listed in the created conversation protocol.

Conclusion of BEM incl. key figure evaluation

Upon conclusion of a BEM process, an individual closing protocol is generated, which can be signed by all parties. In the final step, the key figures of the completed case can be compared with the company and industry average.

E-mail & document generation

Based on your customized templates for different document types, the software creates print-ready files and sends emails automatically. Generate ready-made invitation letters, data protection agreements, appointment invitations and cancellations, minutes etc. at the click of a mouse.

Interface to print service provider

With the optional “printing service” module, BEM case documents can be sent by post by an external service provider. This data protection-compliant and time-saving solution relieves the burden on those responsible for BEM and optimizes the process flow.
